Primary Care Taskforce

Inbox Management Kete

This Kete supports general practices wanting to employ or involve a person to pre-sort and streamline the management of general practitioner (GP) and nurse practitioner (NP) clinical inboxes.

The Primary Care Taskforce is a collaboration of system leaders working on priorities that address capacity pressures in primary care, funded by Pegasus Health, Waitaha Primary Health and Christchurch PHO.

Overview

Increased administration including the volume of inbox management tasks is contributing to the capacity pressures on general practice. For many GPs and NPs this work is completed after-hours in their own time and is impacting their wellbeing.

GPs and NPs in Waitaha Canterbury identified the increase in administration and inbox tasks as a key factor impacting their decisions to depart, reduce hours or retire from general practice.

Inbox Management Survey

94% of respondents agreed that the time spent doing patient administration and inbox tasks is a significant factor that contributes to burnout.

What you can do

While most clinicians and practices already have processes in place to streamline this work, there may be room to improve this further.

An estimated 20% of practices in Canterbury are using an alternative workforce to assist with managing the clinical inbox as an additional way to reduce the clinical workload and retain staff.

Reducing the volume of items at source and using digital assistants and artificial intelligence algorithms to supplement this approach is also being explored by the PHOs.
